PROJECT COORDINATOR – NEW YORK, NY

Alta Vista Solutions is seeking a project coordinator who will be responsible for assisting the Assistant Director for Design & Construction and coordinating and tracking projects within the MTA tenant portfolio.

KEY RESPONSIBILITIES:

  • Review of agreements to determine necessary work and plan submittal requirements
  • Input all project milestones, updates and inspection observations into commercial real estate management software system (i.e. Yardi)
  • Handle scheduling and input on construction team calendar, including important lease dates, milestones/deadlines, site visits, project meetings, etc.
  • Develop and maintain a detailed log of all departmental correspondence, field inspections and project timelines; upload all team correspondence to appropriate document management system
  • Monitor deadlines for plan submittal and track MTA review for potential rent tolling authorization memos
  • Conduct periodic site visits to confirm on the status of projects under construction
  • Organize site photos on team shared drive
  • Develop any necessary reports both in Yardi and externally
  • Assist with construction insurance oversight and monitoring compliance
  • Assist with contacting tenants’ architects and contractors, including an initial outreach to tenant via telephone. Draft tenant and agency e-mail, authorization memoranda, and formal written correspondence, such as plan requests, plan approval/disapproval, contractor document request, etc. as directed, and follow-up as necessary.
  • Assist with, when necessary, abstracting new agreements.
  • Assist in plan review and site visits as directed

SKILLS & ABILITIES:

  • Initiative and ability to multi-task and prioritize many projects at once
  • Computer skills – must be proficient with Microsoft Office, especially Word and Excel; knowledge of Yardi and/or OnBase a plus
  • Basic understanding of construction industry terminology; interest in learning about construction and plan review
  • Excellent verbal and written communication – need to be able to talk to all types of people (construction industry professionals, tenants, agency oversight personnel, etc.)
  • Organized, detail-oriented, with an eye for developing process improvements
  • Basic blueprint reading skills preferred

MINIMUM QUALIFICATIONS:

  • Undergraduate degree in construction management or engineering (or related) field preferred
  • Minimum 1-2 years’ work experience in project administration or similar role
